How to use StitchFYN

From fabric drop-off to collection, step by step

Every screenshot below comes from the working StitchFYN app, following one real order through the workshop: a cord lace gown for a wedding, from intake to collection.

Part 1 Get started

Activate your workspace

Owner

What you see: once your workshop is approved, StitchFYN sends the owner an email with an activation link. It opens the Verify your email page.

  1. Type a password in Create a password. The checklist turns green as it meets each rule: at least 8 characters, an uppercase letter, a lowercase letter and a number.
  2. Type it again in Confirm password.
  3. Click Verify email & activate account.

What happens next: you land on the sign-in page with the message "Email verified. Sign in with the password you just set." The link works once and expires after 24 hours.

Set your own password; StitchFYN never sends you one for the owner account.

Owner Staff

What you see: the Welcome back sign-in card.

  1. Enter your email address and password.
  2. Click Sign In.

What happens next: the first time an owner signs in, StitchFYN opens the setup (step 3). After that, and for staff, you go straight to your dashboard. If you forget your password, click Forgot password? and StitchFYN emails you a reset link.

The same sign-in page is used by owners, managers, front desk and tailors.

Finish the first-time setup

Owner

What you see: Set up followed by your business name, with four steps across the top: Your workshop, Production stages, Your team and Ready. Each step saves as you go, so you can leave and pick up where you stopped.

  1. Your workshop: enter the workshop address, how many garments you can have in production at once and your working hours a day. New orders warn you when you reach that limit.
  2. Production stages: click Use the standard stages to start with the standard sequence. You can rename, add or reorder stages later (step 5).
  3. Your team: enter at least one person's name and email, choose their role and click Send invite (more in step 7).
  4. Ready: when every item is ticked, click Finish and take your first order.

What happens next: your workshop is ready for its first order. If something is still missing, the checklist names it and Do this takes you back to that step.

Read your dashboard

Owner

What you see: Workshop overview, with tiles for active orders, orders at risk of missing their date, completed orders and average completion time. Below are your store's capacity, your StitchScore and the latest Team activity.

  1. Use the green sidebar to move between areas: Orders, Production, Customers, Inventory, Staff Management, Settings and the Forensic Center. The Forensic Center holds your workshop's full record of who did what, and when (step 20).
  2. Click the bell for notifications, and your initial (top right) to change your password or log out.

What happens next: the numbers update as your team works. StitchScore unlocks once you have completed 10 orders; until then it shows your progress towards it.

Team activity shows who moved which order forward, and when.

Part 2 Set up your workshop

Build production blueprints

Owner

What you see: Settings → Workshop Config → Production Blueprints. A blueprint is the list of production stages for one kind of garment, plus the measurements it needs.

  1. Click + New, give the blueprint a name (for example "Lace Gown") and a short description, then click Create Blueprint.
  2. Select it. New blueprints start with a standard sequence: Intake, Cutting, Sewing, Embroidery, Finishing, Quality Check and Ready for Collection.
  3. Under Required measurements, type each point you always take (Chest, Waist, Hips, Dress length…) and click Add.
  4. To add an extra stage, click Add Stage, enter its name and estimated hours, and click Add Stage.

What happens next: the blueprint appears as a garment type when you create orders, and its stages become the production checklist for every garment made from it.

Tip: new stages are added to the end of the sequence, so plan the order before adding them. The Quality Check stage always needs a photo before it can be completed.

Stock your fabric vault

Owner Manager

What you see: Inventory (the Material Vault). Register the fabric you sell or keep in stock here. If your customers always bring their own fabric, you can skip this step.

  1. Click Register Material and take or choose a photo of the fabric. The photo is required.
  2. Enter the Material Name, an optional SKU / Reference, and the unit you count it in (Yards, Meters, Pieces or Boxes). Click Register Material.
  3. On the new row, click Receive Stock, enter the quantity that arrived and confirm.

What happens next: each material shows its Total, Reserved and Available stock. Fabric is reserved automatically when an order uses it.

Invite your team

Owner

What you see: Staff Management (Identity & Access), listing everyone with access to your workshop, including anyone you invited during setup.

  1. Click Invite Staff.
  2. Enter their full name and email, choose a System Role (Manager, Tailor or Front Desk) and the store they work in.
  3. Click Grant Access.

What happens next: they receive an email with a Set my password link, which opens the same page you used in step 1. StitchFYN also shows you the link, so you can copy it or send it on WhatsApp if the email doesn't arrive. It works once and expires in 7 days. From this page you can later change someone's role, suspend them or remove them; every change is recorded in the access log.

Who sees what: tailors see their Dashboard, My Orders and the Production board, and only the garments assigned to them. Front desk staff can take orders and manage clients.

Part 3 Take an order

Add a client

Owner Front desk

What you see: Customers, your client list with a search box.

  1. Click + New Client.
  2. Enter the client's full name (required), phone number and email address.
  3. Click Create Profile.

What happens next: the client's profile opens, ready for measurements. If you added an email address, StitchFYN emails the client a welcome message.

Only the name is required; phone and email can be added later.

Record measurements

Owner Front desk

What you see: the client profile, with contact details, Master Measurements, order history and the measurement version history.

  1. Click Record New Measurement.
  2. Under Add custom precision point, type a point (for example "Chest") and press Enter or click Add Label. Repeat for each point.
  3. Enter each value in centimetres and click Commit Version.

What happens next: the measurements appear on the profile as a numbered version. Every later change creates a new version, so earlier measurements are never overwritten. Once the client has agreed a version, Lock & Seal Version locks it so nobody can change it.

Saved measurements on the client profile.
Each point is entered in centimetres.

Create the order

Owner Front desk

What you see: Production Intake, a guided form with numbered steps. Start it from New Order in the sidebar, or from Create New Order on a client's profile (which skips the client step).

  1. Client: search for an existing client and pick them, or click Add New Client Profile.
  2. Blueprint and deadline: click a garment type (each click adds an item), optionally assign a tailor to it, pick the production deadline on the calendar, and choose the store. Under Order classification choose the occasion, garment category, payment structure and construction tier, then click Configure Material.
  3. Material: choose the fabric from your vault (it shows how much is left), or choose Customer's own fabric if the customer brought it. Either way, enter the quantity and its unit, pick a colour swatch and add design notes. The fabric photo is taken after the order is saved.
  4. Measurements: if the client's saved measurements already cover what the blueprint needs, StitchFYN uses them and shows Proceed to Review. Otherwise you fill in the missing points.
  5. Review: check the summary and click Commit to Production.

What happens next: the order is saved and you can open the new order page. Fabric from your vault is reserved for it automatically.

1 · Find the client.
2 · Pick the blueprint, deadline and order details.
3 · Choose the fabric from your vault.
4 · Review and commit.

Part 4 Three checks before cutting

Production cannot start until three things are on record: the deposit, the fabric and the design brief. On the order page, under Status transitions, StitchFYN shows which are still outstanding: Deposit required, Fabric unconfirmed and Design pending.

Record the deposit

Owner Manager

What you see: the Payment Ledger card on the order page.

  1. Click Add Payment.
  2. Enter the amount in naira, then choose the Payment Method (Cash, Bank Transfer, Card, POS or Other) and the Payment Intent (Deposit, Instalment, Final Payment or Full Upfront).
  3. Add a note such as the transfer reference, and click Record Payment.

What happens next: the payment appears in the ledger history, the total paid updates, and the Deposit required flag clears.

Photograph and confirm the fabric

Owner Customer

What you see: on the order page's garment card, Fabric evidence photos and Fabric safety seal.

  1. Click Capture Fabric Photo. On a phone this opens the camera; photograph the fabric the customer brought.
  2. If the customer is with you, click Confirm Fabric, check the recorded quantity with them, and click Confirm Fabric again. Otherwise the customer confirms from their own order page.

What happens next: StitchFYN issues a Fabric Safety Seal: a QR code and a verification code (for example FSS-2N7Q-QHZZ) that anyone can check. Use Share via SMS to send it to the customer. Confirmation cannot be undone; the fabric record is locked from then on.

The seal appears as soon as the fabric is confirmed.

Agree the design brief

Owner Customer

What you see: the Design brief section of the order page.

Part 5 Production

Assign a tailor and start production

Owner Manager

What you see: on the order page, Garment inventory, Production assignment and Status transitions. With all three checks done, no warning flags remain.

  1. Under Production assignment, choose the tailor in Assign Tailor. (Reassign moves the garment to someone else later.)
  2. Click → IN PRODUCTION.

What happens next: the garment moves to In production and appears on the Production board for the assigned tailor.

With the checks cleared, the order can move into production.

Work through the stages

Tailor Owner

What you see: Production, the production floor. Each row is a garment with its client, current stage, deadline and tailor. Use the stage chips and filters to narrow the list. Tailors see only the garments assigned to them, here and under My Orders.

  1. Click the Work on stage icon (the gold factory) on the garment's row. On a phone, tap Work on stage on its card.
  2. In Production stages, the active stage is outlined in green. Add an optional note and tap Add Progress Photo to photograph the work (up to 3 photos per stage).
  3. When the stage is done, click Mark Complete. The next stage becomes active.

What happens next: the customer's tracking page moves forward with every completed stage, and each completion is added to the order's record (step 18).

Working offline: if the workshop loses signal, stage updates are saved on the device and sent automatically when you're back online. Fabric photos taken offline are queued the same way.

Pass the quality check

  1. Inspect the garment, then tap Add Progress Photo and photograph the finished piece.
  2. Click Mark Complete, then complete the last stage, Ready for Collection.

What happens next: the photo becomes part of the order's evidence, and the order is ready for the final review.

Before: Mark Complete waits for a photo.
After: the photo is added and the stage can be completed.

Part 6 Hand over with proof

Final quality review and collection

Owner Customer

  2. Go through the points with the garment in hand, then click Complete Quality Check.
  3. When the customer collects, they tap Confirm Collection on their order page.

What happens next: the order shows "You completed the final quality review", then the customer's confirmation, with dates on both.

The review is recorded and waits for the customer.

Owner

What you see: the order header, with Export Evidence, Forensic Proof and Edit Order.

  1. Under Status transitions, click → COMPLETED. The garment status changes to Completed.
  2. Click Export Evidence to download the order's evidence as a PDF, ready to share if there is ever a dispute.
  3. Click Forensic Proof to see the order's full record, headed Immutable Audit Trail: every action, who did it and when. "Immutable" means nothing in it can be edited or deleted. Each entry also carries a signature (shown as SIG), a digital stamp that shows the entry has not been tampered with.

What happens next: the order counts towards your StitchScore, and its records stay locked and can be checked at any time.

A completed order, ready to export.
Forensic Proof: the order's full record, which nobody can edit.

What your customer sees

Customer

Customers don't need an app or an account. Everything works in the phone's browser.

  • Tracking page: a greeting, the current stage, the delivery date and every stage of production, updated as your team works.
  • Order page: the order status, the production timeline with your team's progress photos, fabric and design confirmations, payments made, a message thread with your workshop, and Report a problem with this order.
  • Seal check: anyone can confirm a Fabric Safety Seal by scanning its QR code or entering its code under Verify a Seal. It shows the tailor, business, date logged and quantity.

  1. Scroll the list. It covers company setup, fabric intake, payments, stage completions, photos and confirmations.
  2. Each entry shows who acted, the details, when it was recorded (Witnessed) and its signature.

What happens next: nothing can be edited or deleted here. If a customer ever disputes what happened, this record and the evidence PDF are your proof.
